Privacy Policy

1. Who we are

Squaro is a team chat and project collaboration platform operated by SquareCut IT Solutions ("we", "us", "our"). This policy explains what information we collect from you when you use Squaro, why we collect it, and what your options are.

2. Information we collect

Account information — your name, email address, phone number (optional), and a password. Your password is never stored in plain text; it is hashed before being saved.

Workspace information — the name and type of workspace(s) you create or join, and any logo you upload for it.

Content you create — messages, files and attachments, tasks, milestones, daily updates, and comments you post inside a workspace.

Payment information — when you subscribe to a paid plan, payment is handled directly by our payment processor, Razorpay. We receive and store the plan you purchased, the amount charged, and a transaction reference — we do not receive or store your card, UPI, or bank account details.

Technical information — IP address, browser and device information, login timestamps, and a session cookie used to keep you signed in.

Call connection information — Squaro's audio/video calls connect your device directly to the other participant's device (peer-to-peer), so during a call, the other participant's device — and, briefly, Google's connectivity service used to help establish that connection (see below) — can see your IP address. We do not store or record the audio/video content of your calls — it never passes through or is saved on our servers; only the fact that a call happened (participants, start time, duration) is kept, the same as any other activity in your workspace.

Call recordings. Squaro lets any participant choose to record a 1:1 call, group call, or meeting — every other participant is shown a consent prompt and must agree before recording begins. The recording is captured and saved entirely on the recording participant's own device using their browser; it is never uploaded to, transmitted through, or stored on our servers, so we have no copy of it, no access to it, and no ability to retrieve, moderate, or delete it. What you or your teammates do with a recording after it's saved to a device is outside our control and this policy.

3. How we use your information

We do not sell your personal information to third parties.

4. How we store and protect your information

Passwords are stored as one-way hashes, never as plain text. Each workspace's data — its projects, messages, files, and members — is kept isolated from every other workspace on the platform; workspace membership is checked on every request that touches that data. Uploaded files are stored outside the publicly-accessible web directory and served only to users authorized to see them.

5. Third-party service providers

We rely on a small number of third parties to operate Squaro, each of which only receives what it needs to do its job:

6. Cookies

We use a single session cookie to keep you logged in. We do not use third-party advertising or tracking cookies.

7. Data retention

We retain your account and workspace data for as long as your account is active.

Uploaded files. Each plan has a maximum file size and a smaller warning threshold. A file above the warning threshold (but still within the plan's maximum) is accepted, but is automatically deleted a number of days after upload — the exact size and number of days depend on your plan and are shown at the time of upload. You're responsible for keeping your own backup of any large file before it's automatically removed; we cannot recover a file once it has been deleted this way.

8. Account deletion

You can delete your own account at any time using the Delete Account option in your Profile settings, under "Danger Zone." Deletion takes effect immediately and cannot be undone. If you're unable to log in, see our dedicated Delete Your Account page for how to request deletion another way.

When your account deletion request is completed:

We do not claim that all data is permanently and immediately erased from every system the moment you delete your account — some of it is retained as described above, consistent with what this policy discloses.

9. Account and workspace suspension

We may suspend a user account or an entire workspace — temporarily restricting sign-in or access — if we reasonably believe it's necessary to investigate a violation of our Terms & Conditions, respond to valid legal process (see Section 11 below), or protect the security of the platform or other users. A suspension records who issued it, when, and the reason, and is reviewed by an authorized member of our team before being lifted.

If your account or workspace is suspended and you believe it was done in error, or you have documentation showing it should be reconsidered, contact us using the details in "Contact us" below. Providing a document does not automatically reverse a suspension — we review each case and record a decision, the same way the suspension itself was recorded.

10. Platform support access

In limited circumstances — most commonly to help diagnose an issue you've reported to support, or to investigate suspected misuse — an authorized member of our platform team may temporarily access your account in a read/interact mode equivalent to signing in as you ("support access"). This is not routine monitoring of your account; it is only used when there is a specific reason to.

Every support access session is: limited to a short, fixed time window; requires a separate step-up verification beyond our staff member's own login; and is automatically and permanently logged — who accessed which account, when, for how long, and (for every action taken during that session) that it happened under support access rather than as the account holder themselves. These logs are retained as part of our security audit trail described in Section 4.

11. Law enforcement and legal requests

We may access, preserve, or disclose specific account or workspace information if we have a good-faith belief it's required to comply with valid legal process — such as a court order, subpoena, or warrant — issued by a government or law enforcement authority with jurisdiction over us.

Before any information is disclosed under this section, the request goes through an internal review: we record the requesting authority's identity, an official reference number, the supporting legal document, and the specific scope of what's being requested. We disclose only what the request actually authorizes — never a broader export of account or workspace data than what was requested and justified — and we keep a record of exactly what was disclosed, to whom, and when, for our own compliance purposes. We don't proactively hand over account data to any third party absent a valid legal basis to do so.

12. Your rights

You can access and update most of your account information directly from your Profile page, and delete your account entirely using the Delete Account option described above. You may also request a copy of your data, a correction, or ask us a question about how your data is handled by contacting us using the details in "Contact us" below.

13. Subscription refund policy

You may request a refund within 3 days of purchasing a subscription, subject to review and our Terms & Conditions. Refund eligibility is always determined using the purchase date and time recorded by our server/payment system — never your device's clock.

After the 3-day window has passed, subscription payments are non-refundable, except where required by applicable law or where we approve an exception. Deleting your account does not automatically qualify you for a refund.

To request a refund, contact us at squarecutsolution@gmail.com or through our Contact Us page.

14. Children's privacy

Squaro is a business collaboration tool and is not directed at, or intended for use by, children.

15. Changes to this policy

We may update this policy from time to time. If we make a material change, we'll update the "Last updated" date above.
